AI readiness, adoption and private AI

Your staff are already using AI. This project makes sure they use the right tool, with the right data, under rules you chose.

Price
Fixed-fee, quoted after a free call.
Typical timeline
1 to 2 weeks (private AI quoted separately)

Sound familiar?

  • People are pasting client information into free chatbots.
  • We want to use AI but do not know which tool is safe for our data.
  • Gemini or Copilot? Which one, and is it worth the cost for us?
  • We need a policy, and nobody has time to write one.
  • Some of our data can never leave the building, but we still want AI.

What is included

  • A quick survey of how staff use AI today, and for what.
  • Data and privacy rules: what information may go into which tool, and what never should.
  • A vendor-neutral comparison of Gemini, ChatGPT, Claude and Microsoft 365 Copilot, matched to the platform you already use and the work your team does.
  • A license plan: who needs a paid seat, who does not, and what it costs per month.
  • A sharing and permissions check in Google Drive or SharePoint before turning on any AI assistant that can read your files, so it cannot surface what people should not see.
  • A short staff session on using the chosen tool well and safely.
  • Private AI, when data must stay in-house: open-source models running on hardware you own with Ollama, behind single sign-on, with no data sent to an AI vendor.

What you receive at the end

  • A one-page AI use policy staff can actually read.
  • A license plan with monthly costs.
  • A rollout checklist for the chosen tool.

Who it suits

  • Professional offices that handle client data.
  • Healthcare and dental practices that need clear rules around patient information.
  • Any team where AI use has started without a plan.

Where this work happens

Remote or on site. The staff session works well in person for Carson City and Reno offices, and over a video call for everyone else. Private AI hardware is installed on site.

AI readiness and private AI: common questions

What AI experience do you bring?

Daily hands-on use of Gemini, OpenAI, Claude and open-source models, self-hosted private AI on GPU hardware, and work writing AI training and policy for responsible adoption in a large organization.

Can AI run without sending our data to a vendor?

Yes. Open-source models can run on a server you own. The trade-offs are hardware cost and some capability compared with the largest hosted models, and they are laid out plainly before you decide.

Do you sell AI tools?

No. The recommendation is independent, and you buy directly from the vendor.

What about patient or client confidentiality?

The policy spells out what may go into each tool and which vendor agreements need to be in place first. It is practical guidance, not legal advice.

Is two weeks enough?

For choosing a tool, writing the rules and getting staff started, yes. Deeper integration work can follow as a separate project if it makes sense.
